A warehouse in Grow CRM represents any location where you hold stock — a physical store room, a shop front, a third-party fulfilment centre, or simply a logical bucket if you don’t need to model physical sites at all. Every stock-tracked item’s on-hand quantity is recorded per warehouse, so you can see exactly what you have and where. When you first activate the Purchasing module, a Default Location warehouse is created for you automatically so you can start recording stock straight away.
You must always have at least one active warehouse. Grow CRM will not let you archive or delete your last remaining warehouse. If you only have one, create a replacement first before retiring the old one.

The Warehouse Record

When you create or edit a warehouse, you can fill in the following fields:

Creating a Warehouse

Open the Warehouses list

Go to Inventory → Warehouses in the left-hand navigation.

Start a new warehouse

Select Add Warehouse to open the creation form.

Enter the warehouse details

Fill in the Name (required) and any optional location and manager details you want to record.

Save

Click Save. Your new warehouse is immediately active and available in all warehouse pickers.

Editing a Warehouse

Open any warehouse from the list and update whichever fields you need. Changes take effect immediately — there is no separate publish step.

Archiving a Warehouse

If a warehouse has any Stock In, Stock Transfer, or Stock Adjustment history attached to it, you cannot delete it outright — you must archive it instead. When you initiate an archive, Grow CRM asks you how to handle any remaining stock at that location:
This is the default option. You pick a target warehouse, and Grow CRM automatically creates a Stock Transfer that moves all remaining stock from the warehouse being archived to the one you chose. No stock is lost; it simply lives at the new location going forward.Use this option when you are closing one site but consolidating into another and want a clean audit trail of where the stock went.
Once a warehouse is archived, it no longer appears in warehouse pickers when you create new Stock In, Stock Transfer, or Stock Adjustment records. However, all historical records associated with it remain intact and fully visible for audit and reporting purposes.

Restoring a Warehouse

If you need to reactivate an archived warehouse, open the Warehouses list, locate the archived warehouse, and select Restore. The warehouse becomes active immediately and reappears in all warehouse pickers.

Deleting a Warehouse

Whether you can delete a warehouse depends on its history:
  • No transaction history — the warehouse can be deleted outright from the list. This permanently removes it.
  • Has transaction history — the warehouse cannot be deleted. Archive it instead using the process described above to preserve the historical records while retiring the location.
