Use Stock Adjustment to manually correct on-hand quantities at a warehouse when reality does not match what Grow CRM has on record. Common situations include completing a physical stocktake and finding variances, writing off damaged or expired goods, accounting for theft or unexplained shrinkage, or correcting an entry error that slipped through before you noticed. Unlike Stock In or Stock Out records — which represent specific physical events like receiving a delivery or fulfilling an invoice — a Stock Adjustment is a free-form correction that can increase or decrease stock by any amount you specify.

Creating a Stock Adjustment

Open Stock Adjustment

Go to Inventory → Stock Adjustment and select Add Stock Adjustment.

Choose a warehouse

Select the Warehouse the adjustment applies to. This field is required — only active warehouses appear in the picker.

Set the date

Set the Date of the adjustment. This defaults to today but can be backdated to the date of the stocktake or the event that caused the discrepancy.

Add line items

Search for and add each item you need to adjust. For each item, enter the adjustment quantity:
  • A positive number increases stock (e.g. you found items that were never recorded).
  • A negative number decreases stock (e.g. damaged, expired, or missing goods).

Add notes

Enter Notes explaining the reason for the adjustment. Good notes make future audits much easier — record what triggered the stocktake, who conducted it, or what happened to the missing or additional goods.

Save Draft or Submit

  • Select Save Draft to save your work and come back to it later.
  • Select Submit when the adjustment is complete and correct.
Sign convention reminder: a positive quantity means you are adding stock (you found items that were not recorded), and a negative quantity means you are removing stock (items are damaged, missing, or being written off). If you want to make no change to an item, remove it from the line items entirely — entering zero is not allowed.

Draft vs. Recorded

  • Draft — the record is still in progress. You can edit any field, adjust quantities, add or remove line items, or delete the record entirely. No stock quantities are affected while an adjustment is in Draft.
  • Recorded — the record has been submitted and is now locked. The adjustment quantities are applied to the warehouse’s on-hand stock during the next reconciliation pass.
Once a Stock Adjustment is Recorded, it cannot be edited or deleted — only reversed. Review your warehouse selection, items, and quantities carefully before you click Submit.
Reconciliation runs automatically in the background approximately every minute. If you have just submitted an adjustment and do not yet see the updated quantities on the Stock page, wait up to a minute and then refresh.

Reversing an Adjustment

If a recorded adjustment was made in error, open the record and select Reverse, then provide a reason. Grow CRM applies the exact mathematical opposite of the original adjustment:
  • An adjustment of +15 is reversed by applying −15.
  • An adjustment of −20 is reversed by applying +20.
The original record’s status is set to Reversed and it remains visible in the list for your audit history. A corresponding reversal entry is created to document the correction.
Reversals cannot be undone. Only records with a Recorded status can be reversed — Draft records should simply be edited or deleted instead. Make sure the reversal is the right action before confirming.

Automatic Adjustments

You do not always need to create Stock Adjustments manually. When you archive a warehouse and choose the Adjust stock to zero option, Grow CRM automatically creates a Stock Adjustment that zeroes out all remaining stock at that warehouse. This automatic adjustment appears in the Stock Adjustment list like any other, giving you a permanent record of when the write-off occurred and how much stock was removed from each item.
