Use Stock Transfer to move stock from one of your warehouses to another. A common scenario is restocking a shop front or satellite location from a central store — rather than recording a Stock Out at one warehouse and a Stock In at another separately, a single Stock Transfer handles both sides of the movement atomically and keeps your audit trail clean. Both the deduction from the source and the addition to the target are applied together during the same reconciliation pass.

Creating a Stock Transfer

Open Stock Transfer

Go to Inventory → Stock Transfer and select Add Stock Transfer.

Choose source and target warehouses

Select a Source Warehouse (where stock is coming from) and a Target Warehouse (where it is going to). Both fields are required, and they must be different warehouses — you cannot transfer stock from a warehouse to itself.

Add a transfer reference (optional)

Enter a Transfer Reference if you want to cross-reference this movement with an internal document, a purchase order, or a delivery note.

Set the date

Set the Date of the transfer. This defaults to today but can be backdated.

Add line items

Search for and add each item you are moving, then enter the Quantity to transfer for each one. Only items with stock tracking enabled appear in the search results.

Add notes

Enter any relevant Notes about the transfer — for example, the reason for the movement or any special handling instructions.

Save Draft or Submit

  • Select Save Draft to keep the record editable while you continue reviewing it.
  • Select Submit when you are ready to record the transfer.
When you submit a transfer, Grow CRM checks that the source warehouse currently holds enough stock for every item on the transfer. If any item is short, the submission is blocked and you will see a breakdown of how much is available versus how much you are trying to move. Adjust your quantities or top up the source warehouse with a Stock In record before retrying.

Draft vs. Recorded

  • Draft — the record is still in progress. You can edit any field, change line item quantities, or delete the record entirely. No stock is moved while a transfer is in Draft.
  • Recorded — the record has been submitted and is now locked. Stock is deducted from the source warehouse and added to the target warehouse on the next reconciliation pass.
Once a Stock Transfer is Recorded, it cannot be edited or deleted — only reversed. Review your source warehouse, target warehouse, items, and quantities carefully before you submit.
Reconciliation runs automatically in the background approximately every minute. If you have just submitted a transfer and the updated quantities are not yet showing on the Stock page, wait up to a minute and refresh.

Reversing a Transfer

If a recorded transfer needs to be undone, open the record and select Reverse, then provide a reason. Reversing a transfer:
  • Adds the transferred quantities back to the source warehouse.
  • Removes the transferred quantities from the target warehouse.
  • Sets the record’s status to Reversed, preserving it for your audit history.
Before processing a reversal, Grow CRM checks that the target warehouse still holds enough stock to give back to the source. If stock from the target has since been consumed (for example, by a published invoice), the reversal may be blocked until the discrepancy is resolved. Reversals cannot be undone once processed.
Only records with a Recorded status can be reversed. Draft records should simply be edited or deleted instead.

Automatic Transfers

You do not always need to create Stock Transfers manually. When you archive a warehouse and choose the Transfer stock to another warehouse option, Grow CRM automatically creates a Stock Transfer that moves all remaining stock from the archived warehouse to the one you selected. This automatic transfer appears in the Stock Transfer list just like any manually created one, giving you a full record of where the stock went.
