The Stock page is your at-a-glance view of on-hand inventory across your entire operation. It lists every item that has stock tracking enabled, together with its current quantity — either totalled across all warehouses or narrowed to a single location using the warehouse filter. Use this page to spot items that are running low, check what you have before raising a purchase order, or verify that a recent delivery has been reconciled correctly.

Enabling Stock Tracking

Only items with inventory tracking turned on appear on the Stock page. To enable tracking for an item:

Open the item for editing

Navigate to the item in your product or service list and open it for editing.

Expand Inventory Management

Scroll down to the Inventory Management section and expand it.

Enable tracking

Toggle on Track inventory. The item will now appear on the Stock page once any stock movement references it.

Set a Minimum Stock Level

Enter a value in the Minimum Stock Level field. This threshold determines when an item’s status changes from Normal to Low, and it also controls when low-stock notification emails are sent.

Save the item

Save your changes. The item is now tracked and will appear on the Stock page.

Stock Statuses

Each tracked item displays one of three statuses based on its current on-hand quantity relative to its minimum stock level:
Stock status is calculated globally per item, across all of your warehouses combined — not per individual warehouse. If an item has plenty of stock at one warehouse and none at another, its overall status will reflect the combined total. To see quantities broken down by location, use the warehouse filter on the Stock page.

Filtering the Stock List

You can narrow the stock list using any combination of the following filters:
  • Item — search for a specific product or service by name.
  • Warehouse — switch from the combined total view to show on-hand quantities at a single warehouse.
  • Stock Status — show only items with a Normal, Low, or Out of Stock status.
  • Minimum Quantity / Maximum Quantity — filter to items whose on-hand quantity falls within a numeric range.
Combine filters to find exactly what you need — for example, filtering by warehouse and “Low” status to see which items need restocking at a particular site.

How Stock Levels Are Calculated

The quantities shown on the Stock page are the result of a background reconciliation process that aggregates all recorded stock movements for each item. The figure you see is derived from:
  • Stock In records — quantities received into the warehouse are added.
  • Stock Out records — quantities consumed by published invoices are deducted.
  • Stock Transfer records — quantities are deducted from the source warehouse and added to the target warehouse.
  • Stock Adjustment records — positive or negative corrections are applied directly.
The Stock page also displays when the last reconciliation ran, so you always know how fresh the numbers are.
Reconciliation runs automatically in the background approximately every minute. If you have just submitted a stock movement and the quantity on this page has not yet updated, wait up to a minute and then refresh.

Low Stock Notifications

When an item’s on-hand quantity drops to Low or Out of Stock, Grow CRM can automatically send an email alert to a list of recipients you configure. To set up notification recipients and preferences, go to Settings. To protect your inbox, notifications for the same item are throttled to once every 24 hours — so if an item fluctuates around the low-stock threshold, you will not receive repeated alerts within the same day.
