# Add, Edit, and Delete Suppliers in Grow CRM Purchasing

> Add, edit, and delete supplier records in Grow CRM Purchasing. Supplier contact details are used when sending Purchase Orders and RFQs by email.

A Supplier record stores the contact details of a company or individual you purchase from. Grow CRM Purchasing uses these records as the foundation for every procurement document you create — when you raise a Purchase Order, send a Request for Quotation (RFQ), or log incoming stock, you link the transaction to a supplier so that all purchasing activity stays organised and traceable in one place.

## The Supplier Record

Each supplier record contains the following fields:

| Field          | Required | Notes                                                                                    |
| -------------- | -------- | ---------------------------------------------------------------------------------------- |
| Company Name   | Yes      | The primary identifier for the supplier. Shown on all linked documents.                  |
| Contact Person | No       | The name of your main point of contact at the supplier.                                  |
| Email          | No       | Used as the "To" address when you publish a Purchase Order or send an RFQ by email.      |
| Telephone      | No       | Optional phone number for reference.                                                     |
| Address        | No       | Physical address; visible under the **More Information** section of the supplier record. |
| Notes          | No       | Internal notes about the supplier — never shown to the supplier on any document.         |

<Tip>
  The **Email** field is the address Grow CRM will use when sending a Purchase Order or RFQ to this supplier. Make sure it's filled in if you plan to email documents directly from the system.

## Creating a Supplier

  <Step title="Open the Suppliers list">
    In the left-hand navigation, go to **Purchasing → Suppliers**.
  </Step>

  <Step title="Start a new record">
    Select **Add New Supplier** to open the supplier creation form.
  </Step>

  <Step title="Enter the company name">
    Type the **Company Name**. This is the only required field.
  </Step>

  <Step title="Add contact details">
    Optionally fill in **Contact Person**, **Email**, and **Telephone**. The email address is especially important if you intend to send Purchase Orders or RFQs directly to this supplier from Grow CRM.
  </Step>

  <Step title="Add address and internal notes">
    Expand the **More Information** section to enter a postal or physical **Address** and any internal **Notes** about the supplier.
  </Step>

  <Step title="Save the record">
    Select **Save**. The supplier is now available to select when creating Purchase Orders, RFQs, and Stock In entries.

## Editing a Supplier

Open the supplier from the **Suppliers** list and update any field you need to change. Your edits are saved immediately. Existing Purchase Orders, RFQs, or Stock In records that are already linked to this supplier retain their historical values where applicable, so updating a supplier's details won't silently alter documents that have already been sent.

## Deleting a Supplier

To delete a supplier, open the record and choose the delete option. If the supplier has existing Purchase Orders associated with them, Grow CRM will ask you how to handle those orders:

* **Delete the Purchase Orders together with the supplier** — removes the supplier record and all linked Purchase Orders permanently.
* **Leave the Purchase Orders in place** — removes the supplier record but keeps the Purchase Orders in the system; those orders will simply no longer be linked to a supplier.

Choose the option that best fits your record-keeping needs before confirming the deletion.

## Where Suppliers Are Used

Every supplier you create can be referenced across the following areas of the Purchasing module:

* **[Purchase Orders](/purchasing/purchase-orders)** — every Purchase Order is addressed to a supplier, and the supplier's email is used when you publish the order.
* **[RFQs](/purchasing/rfqs)** — every Request for Quotation is sent to a supplier, and the supplier's email is used when you send the RFQ.
* **Stock In** — optionally records which supplier goods were received from, giving you a full picture of your purchasing history with each supplier.
